A host's checklist for listing, handing over and receiving a rental car

A practical guide for private owners and fleets: publish accurate vehicle details, show the actual car, explain rental terms and record its condition at pickup and return.

Подготовка автомобиля перед сдачей в аренду

A useful listing answers questions before pickup. A careful handover confirms that the description matches the car. Whether you run a fleet or rent out one vehicle, keep the information, terms and photographs tied to the actual vehicle the customer will receive.

Check each vehicle's details

Verify make, model, year, transmission, drivetrain, seating and current mileage. Do not copy specifications from a similar car without checking. If a fleet has two matching sedans, distinguish them in internal records and maintain separate photographs and maintenance histories.

Record when the information was checked. Update the listing when mileage, tyres or available equipment change. Do not replace an unknown value with zero or present a guess as a confirmed feature.

Compare your description with the customer view in the Carpal catalogue. The title should identify the vehicle rather than promise an unverified service level.

Take informative photographs

Use daylight and an uncluttered background. Show the exterior, cabin, rear seats and luggage compartment. Lead with a photograph that clearly shows the whole car, and check that no pictures belong to another vehicle.

Do not remove defects through editing or add equipment that is not supplied. Photograph a small scratch separately and describe it plainly. Keep passports, driving licences, customer contact details and private conversations out of the public gallery.

Make the terms specific

Prepare a short checklist for that vehicle:

  1. Rental price, minimum duration and any separately agreed services.
  2. Deposit amount and the process for reviewing it at return.
  3. Included mileage and excess-mileage terms, where a limit applies.
  4. Pickup, return and extension arrangements.
  5. Permitted routes, usage restrictions and driver requirements.

Check insurance documents separately, including coverage, exclusions and whom to contact. Avoid saying everything is insured unless that statement can be substantiated. This checklist does not establish a universal Carpal policy or replace your rental terms.

Inspect before handing over the keys

Prepare the agreed keys, documents and equipment. NHTSA recommends checking tyre pressure against the vehicle manufacturer's guidance. See the official tyre recommendations.

Walk around the car with the renter and inspect the glass and interior. Record existing damage, odometer reading, fuel or charge level and supplied items. Demonstrate the main controls and agree how to report a vehicle problem.

Where the booking provides an in-app inspection, complete its requested photographs and fields. Do not mark an inspection complete before checking the actual car.

Return and fleet coordination

Repeat the inspection in comparable conditions at return. Record the time, mileage and fuel or charge level. Discuss differences and keep inspection material separate from the public listing. A photograph alone does not establish responsibility or guarantee an automatic charge or refund.

For fleets, assign a person to each pickup and return. Track maintenance and periods when the car cannot be handed to another customer. Refresh the description after equipment changes so the next rental starts with current information. Find further practical reading in guides for hosts.
